Before you start
- Prepare terms suitable for your business. Flovuni supplies the editor and signing tools, not legal advice or a legally reviewed contract template.
- Link the required contacts to the project and check your business's client-facing information.
What you will learn
- Create a formatted, fillable agreement connected to its project.
- Keep client and business signatures with signing dates.
- Make changed terms require new signatures rather than silently altering a signed record.
Step-by-step
Create the project's contract
Open the Contract module in Overview and create the agreement. Give it a recognizable name. The module keeps the name, version, signing status, and actions compact; the Contracts page makes agreements across projects easy to find.
Format and review the content
Type or paste your text, then use the rich-text controls for headings, font size, bold, and other available formatting. Add fillable fields and signature boxes where appropriate. Pasting can preserve supported formatting, but always review the result—complex Word or PDF layouts may not transfer exactly.
Share the signing view
Open the contract's title to inspect the client signing URL, then share the private link with the intended people or provide it through the portal. Clients do not need workspace access to use the signing link.
Collect and review signatures
The agreement supports your business signature and up to two client signatures. Check the saved signers and dates, not just the appearance of a signature field. Use the edit action for the internal editor rather than expecting the public signing view to be the editor.
Replace changed terms with a new version
Amend the agreement through a new version. The previous version becomes void and the replacement requires fresh signatures. Clearly direct the client to the new version and keep the signing history available.
Keep a reference copy
Use the internal or client-facing PDF action to download a copy. Review the version and status before using it. Void versions remain identifiable in the live view and current downloads; you cannot remove a copy someone previously saved on their device.
The version matters as much as the signature
A signature records agreement to a particular version's content. An amendment must not imply that an earlier signature accepted new terms. The client needs to be able to distinguish the current agreement from a void one.
- Review all required signatures before treating an agreement as fully signed.
- Use the Contracts list to sort by project date, contact, and signing state.
- Delete only when you have deliberately decided the record is not needed; retaining history may be important to your business.
Share the agreement—not the internal workspace
A signing URL grants access to the client-facing document. Treat it as private and send it only to the intended recipient. Do not put internal workflow notes, staff pricing, or another client's data into the contract text.
- Preview the signing page before sending it.
- Check business identity and client names.
- If a private link is no longer appropriate to share, review its access settings or generate a current link rather than publishing it.

Common questions
Can both partners sign?
Yes. A contract supports up to two client signers plus the business signature.
Can I paste a contract from another document?
Yes, but supported rich-text formatting is not a guarantee of identical document layout. Review headings, spacing, fields, and the PDF before sharing.
Does the old PDF update itself?
No. Previously downloaded files stay on the recipient's device; the live version and newly generated copies show the current status.
