Before you start
- Check the primary contact and the projects belonging to that client.
- Save your business identity and review which information is appropriate for the client—not just what is useful internally.
What you will learn
- Choose which of a client's projects the portal includes.
- Share selected documents, links, planning, and financial documents without sharing internal tasks.
- Apply one brand identity across the portal and other client-facing tools.
Step-by-step
Save a client-facing identity
In Business profile & branding, save the logo, contact information, website, and Instagram. Choose button and accent colours, and optionally a background colour. These settings also apply to the other branded forms and documents; your internal workspace theme is separate.
Choose the portal's included projects
Open the project's Portal tab, enable access when appropriate, and select the projects you want to include for that client. A portal can cover an engagement session, shower, and wedding without automatically showing every unrelated project. Included projects are ordered by project date.
Choose what is shared
Prepare contracts, questionnaires, the timeline, and shot list in Overview. Beside each document or link attachment, use Share to include it in the portal or remove sharing when it is internal. Adding a file to a project alone is not the same as deliberately sharing it.
Add the finished-work or gallery link
Save the client gallery URL in Portal, or deliberately share a video-delivery link through Documents & links. These point to your chosen gallery or video service; Flovuni does not host the photos or videos themselves. Check that the destination also has the access settings you intend.
Preview before sending the private link
Review the client view, including all selected projects and materials. Quotes and invoices appear together; clients can accept quotes, access invoices and enabled online payment, sign agreements, and complete questionnaires. They can also keep PDFs and an event-summary copy.
A private link is access—not a client workspace account
Clients do not need a team login to open their authorized portal. Anyone with a valid private link may be able to view the information it grants, so send it only to the intended people and review its access controls when the relationship changes.
- Internal workflow tasks and private notes are not part of the client-facing project plan.
- Share attachments individually; do not assume every uploaded document belongs in the portal.
- Never use a real portal, contract, or questionnaire link in a public website example or support screenshot.
Brand colours and device theme can work together
Without a custom background, client pages follow the device's light/dark preference. A saved background lets the business choose a branded canvas. Review the preview and client view so the logo, text, buttons, and accent remain readable.
- Use a logo that is legible at small sizes and on the chosen background.
- Check your chosen colours in a real client preview, not only a colour picker.
- The business's internal dark-mode setting is not the client's portal preference.

Your client sees the booking, shared documents, and payment balance—not your internal notes or tasks.
A downloaded PDF is a reference copy, not a live update. Private links and documents should be shared with the intended recipients only.

Common questions
Can I share a link attachment as well as an uploaded document?
Yes. Use Share beside the file or link in Documents & links. Keep internal attachments unshared.
Does Flovuni replace my photo gallery host?
No. Add your existing gallery link so clients can reach it from the project portal.
Will my client see my task notes?
The portal is for the client-facing booking materials, not the internal workflow and private notes. Still review anything you deliberately put into a shared document.
