Before you start
- List the details you actually need to prepare for this kind of project.
- Choose whether the question needs one answer, several options, or an open text response.
What you will learn
- Create a reusable form with a formatted introduction and section headings.
- Avoid asking clients to re-enter information you already have.
- Review responses and downloadable copies without losing their project context.
Step-by-step
Build or edit the reusable template
Open Questionnaire templates. Write the introduction with the rich-text editor and divide the form into clear sections. Add short questions using text boxes, single-choice options, or checkboxes. Use the New question control at the bottom as the form grows.
Create the questionnaire for this project
Attach a questionnaire from the template in the project's Overview. The template is reusable structure; this project's questionnaire holds its own answers. Confirm the correct client and project before sharing.
Prefill the information you know
Enter known answers internally, such as venue details or agreed coverage. The client can review and correct them instead of starting from an empty form. Do not prefill guesses as though the client confirmed them.
Share and let the client answer
Use its private link or the client portal. Answers autosave as they are filled. Clients can return to the same link to revise previous responses, so a one-time submission need not freeze inaccurate information.
Review answers before acting on them
Check the project's responses before planning the day or marking Review questionnaire complete. Download a PDF if you need a reference copy. Recheck the live answers before the booking because a previously downloaded copy may predate later client edits.
Use the smallest question that gets a useful answer
Single-choice fields are good for one consistent decision. Checkboxes allow several selections. Text fields let the client supply names or instructions in their own words. Section headings explain the topic without becoming a question to answer.
| Information needed | Suggested field |
|---|---|
| Preferred location option | Single choice. |
| People or details to include | Checkboxes when several choices apply. |
| Names and practical instructions | Text answer. |
| Family details / Event logistics | A section heading followed by its questions. |
Templates and completed questionnaires are different records
Improve the template for future work, and review the individual attached questionnaire for a current booking. A template is not a shared answer sheet for every client. Responses do not automatically become contract terms or a financial charge.
- Keep questions relevant to the service.
- Use a workflow action to review the response rather than assuming an autosave means everything has been checked.
- Treat the private form link and answer exports as client information.

Common questions
Can a client update an answer after submitting?
Yes. They can return to the private link and revise saved answers.
Are these the same as Contact Forms?
No. Contact Forms collect initial inquiries. A project questionnaire gathers information for an existing lead or booking.
