Before you start
- Sign in to your workspace. Owners and admins can configure business settings; other roles may see fewer controls.
- Have one real service and your usual list of actions in mind. You can refine them after your first project.
What you will learn
- Understand how a contact, project, workflow, and client documents fit together.
- Set up the reusable pieces once, then tailor them to each booking.
- Use the dashboard as your daily starting point.
Step-by-step
Save your business details
New accounts first complete the workspace setup wizard for business details, currency, timezone and invoice defaults. Then open your workspace for the optional feature walkthrough. In Settings → Business profile & branding, add your logo and client-facing colours when ready. Existing users and invited teammates can start or resume the walkthrough from Help; its examples do not create or send real documents.
Build a short workflow
Open Settings → Workflows and create a checklist for the service. Use action names such as Schedule consultation, Send quote, Photograph event, Edit photos, and Deliver gallery. Keep the first version short. Configure special date behaviour only on the tasks that need it.
Create the contact and project
Add an individual or business contact, then create a project with that contact and your workflow. Enter the event date, time, and location when known. Choose Lead if the work is still being discussed; use Booked once it is agreed.
Add what this booking needs
Use Overview for contacts, planning, agreements, questionnaires, files, and links. Financials holds quotes, invoices, payments, and expenses. The Workflow tab holds the full checklist; Portal controls what you share with the client.
Work from the dashboard
Review the next ready action for your projects. Check off completed work or edit its details in place. To-do this week narrows the list to near-term deadlines; upcoming project dates stay in their own booking list rather than becoming duplicate to-do items.
One booking, connected records
A contact identifies who you work with. A project is the container for one engagement: its status, dates, checklist, financial documents, and client materials. A workflow template is your reusable process; the attached checklist is the work for that project.
| Record | What belongs here |
|---|---|
| Contact | People, business details, communication information, and their linked projects. |
| Project | The booking, its dates and locations, contacts, workflow, finances, and materials. |
| Template or package | A reusable starting point—not a second copy of a client's project. |
| Portal | The selected client-facing parts of the project, not your internal workspace. |
You do not need every integration on day one
Start with a contact, project, and checklist. Add packages once you reuse the same prices, a questionnaire once you ask the same questions, and a booking form when clients need to request times. Email, Stripe, and Google Calendar need their own setup before their connected actions work.
- Create an invoice directly if a price has already been agreed; a quote is not mandatory.
- A private client link does not invite someone into your team workspace.
- Use templates for repeated work and project edits for individual exceptions.

Common questions
Do I need a different record for a lead and a job?
No. They live in the Projects list. Booking status describes where that same project is in your process.
What should I configure first?
Business details and timezone, one short workflow, and one project. Add other reusable settings as you need them.
